Treat email like you are writing professional communication. Don’t risk letting careless emails undermine your career. Many people run into professional difficulty when they think they can hide behind an anonymous email address or web posting and make incorrect, uninformed statements without repercussion. Especially troublesome are libelous and just plain mean statements, things they would only say if no one could detect their identify. Believing in internet invincibility is risky. Courts have ordered ISPs and owners to disclose the identity of anonymous bloggers and bulletin board posters in cases of defamation or libel. Treat all email as professional communication. Let no one else use your email address. Email persists long after you click Send. Copies of every email you send or receive are not only stored on your computer, but may be found on the sender’s computer, the receiver’s computer, corporate email servers and various servers the email passes through on its way to the receiver. If you are going out of town and will not be able to check your email, set up an autoresponder that informs people of the delay in response, not necessarily that you will be away. To make your emails look professional, use a signature file at the end of each email that you send. This is a short file with a few lines of text inserted below your name at the end of the email. A signature file usually includes your company name, a short note or narrative. It includes a phone number. Do not use a signature file including an “anykind of protected information” or confidentiality notice unless the message is confidential or protected.
